Purpose

To perform clerical duties as support to Human Resource Officer/ Human Resource Manager.

Duties and Responsibilities
  1. Maintain personal files and file all correspondence on them accurately.
  2. Keep personal files under strict confidential control .
  3. Release personal files only upon instruction from superior.
  4. Prepare monthly report on staff at post and separate report (to include resignation, termination, dismissal, interdiction and death)
  5. Draft letters and process all claims namely: T&T, Vehicle maitenace allowance, loans, insurance, medical bills, bereavement grants etc.
  6. Process resignation, retirement and dismissal letters.
  7. Prepare list of job applicants.
  8. Supervise the secretarial staff at the office of registry to ensure that they work efficiently.
  9. Prepare list of staff recommended for promotion / increment and withholding of increment
  10. Prepare annual staff incremental sheet for both senior and junior staff
  11. Prepare Leave Advice
  12. Perform any other duties that may be assigned from time to time.

  2. Excellent knowledge of Human Resource Matters
  3. Proficiency in the Labour Act
  4. Exceptional attention to detail and accuracy
  5. High level of integrity and trustworthiness.
Skills
  1. Excellent communication skills: both written and oral
  2. Strong analytical and logical reasoning skills
Qualification 
  1.  Diploma in Management Studies /HND Business Management
  2. Knowledge in the relevant computer applications
